How it works

From first call to a plan you own. A few hours of your time. We do the rest.

The AI audit is a fixed piece of work. We talk to you and your team, map how the business really runs, and hand you a ranked plan with the numbers. Then we walk you through it.

A free call, usually 15–20 minutes, about where your business is and where you want it. If it’s a fit, you’ll get the price on the call.

Step by step

What happens, and what we need from you at each stage.

  1. Discovery call

    Usually 15–20 minutes, on Zoom

We talk about where the business is, where you want it, and who’s on your team, so we know who we’d need to talk to. If the audit fits, you’ll get the price on the call, and the proposal straight after. If it doesn’t, we’ll say so.

  2. Getting started

The same day you say yes

You pay by link and fill in a short form about the business, like your team’s roles, roughly how many enquiries, quotes and jobs come in a month, and the tools you pay for. Every question is optional. Then we book the interviews, starting with you.

  3. Interviews

    Usually all within a week

With you first, usually 60–90 minutes, then 30–45 minutes with each person on your team, on Zoom. In your interview, we go through who does what, how work comes in, gets done and gets paid, the tools you pay for, a recent rough day, and where you want the business in a year. We ask to see the real thing on screen, not how it’s meant to work.

    • We talk to the people who keep the work moving, including whoever runs the office.
    • We’ll also ask roughly what each person earns and how many hours they work. A ballpark is fine, by role, not by name. It’s how we put a number on each step.
    • We don’t pass on who said what, including to you.
    • We record only with permission, and delete the recordings once your audit is done.
  4. What we do with it

Between the interviews and the report

We map how work comes in, gets done and gets paid, and mark where it gets stuck. Every idea is ranked by the difference it would make and the effort it takes, and every step gets a number worked out from your team’s own hours and wages.

  5. Priorities check

A few days before the walk-through

A short call, usually 15–20 minutes, to check the order with you. Nothing new appears on the day.

  6. Your report and the walk-through

Usually 7–10 working days after the last interview

We take you through what we found, what already works and the roadmap, usually in about an hour, on Zoom or in person. You get the report and the slides the same day, to keep.

What’s in the report

Written for you to keep and act on, with or without us.

  • Your business on one page

How work comes in, gets done and gets paid, with the points where it gets stuck marked.

  • Where the time goes

What takes up your team’s hours, and the risks, like a process that lives in one person’s head.

  • Everything we found, ranked

Quick wins, big swings, small extras, and what isn’t worth doing.

  • What each step is worth

The hours, cost or profit, worked out from your own team’s time and wages. Where something needs putting in place, the report also shows what it would take to set up and run, and how long before it pays for itself.

  • A roadmap in phases

The first 30 days, months 2–3, and later.

  • What you can fix yourselves

The changes your team can make without anyone building anything.

After the audit

The roadmap is yours. You can:

  • run it with your own team;
  • have us advise you as your team puts it in place;
  • have us build it for you, as a separate project.

It’s your decision either way, and you’ll be making it with the full picture.

Questions

How long does the whole audit take?

The interviews usually take about a week, and the report is usually ready 7–10 working days after the last one. Then we book the walk-through.

Do you need logins to our software?

No. Your team shows us the real thing on screen, and we skip anything with customer details.

Can you come to us instead of Zoom?

Yes. Interviews are on Zoom by default. We can come to you instead, for a day rate plus travel on top of the audit fee. We’ll agree it with you on the call.

What if we don’t go ahead after the call?

Then that’s it. The call is free, and there’s nothing to commit to until you say yes.

How do you work out what each step is worth?

From your own team’s hours and wages. Saved time is shown two ways: the cash you’d actually see, like overtime you’d stop paying or a hire you wouldn’t need to make, and a standard estimate that counts half the time freed. Jobs won back count as profit, never revenue. If a step wouldn’t pay for itself even on the cautious numbers, the report says so.

We’ve paid for a report before, and nobody read it. How is this one different?

It ends in a roadmap that starts with what to do in the first 30 days, with a number on each step. We check the order with you before the walk-through, then take you through it and answer your questions.
